Practice management

Practice systems

Practice systems are repeatable processes that run parts of the business, such as scheduling, new patient intake, recall, billing and collections, so results do not depend on one person.

A practice system is a process the team repeats on purpose. The ADA's recare guidance gives an example: systems should be in place to track and engage patients who have not scheduled, and one tip is to run monthly reports of overdue patients from the management software and name a team member to contact them. The ADA adds that with office systems in place, productivity and efficiency increase. Other common systems cover new patient intake, insurance claims and the daily huddle. Writing each one as a standard operating procedure makes it easier to train staff and to find the step where a problem begins.
